Scheduling · Med spas

A first consult, a series visit, and a reaction call are not the same appointment.

Med-spa calendars break when a laser, an injectable consult, and a follow-up are treated as identical 30-minute blocks. Providers, downtime, and ‘consult required’ rules are the product. Clinical advice is not.

EXCEL schedules the visit types you actually sell: consult vs treatment vs series remaining. It will not recommend a filler or interpret a reaction. HIPAA is not assumed.

This is administrative support: scheduling, office information, and routing. It is not medical or veterinary advice, not a diagnosis, and not a claim of HIPAA certification — that is only in scope when a system is formally designed for it.

Elliot is a receptionist demo, not a med-spa scheduler. Book a consult to map providers and visit types.

Promo weekends fill the wrong slots

First-time injectable interest lands on a laser tech’s calendar. Series visits have no remaining-count. Reaction calls wait behind a booking bot. Consult-required services get a same-day treatment promise nobody can keep.

What med-spa scheduling has to enforce

Service interest first. Consult required yes/no. Provider who can do it. Downtime questions you approve as logistics, not medicine. Series remaining if you track it. Reactions leave scheduling and go to a person.

Med-spa visits that need different providers

  • First-time consult

Interest, photos if you use them, consult slot with the right provider. No treatment on that call unless your rules say so.

  • Series remaining

Which series, which visit number if you store it, provider continuity. Not a new consult packet.

  • “I think I am having a reaction.”

Stop scheduling. Capture and route to a clinician. The agent does not triage medicine.

Logistics, not a treatment plan

  • Service family

Consult, laser, injectables, facial — your menu, not a diagnosis.

  • First time vs existing

    Consult-required flags live here.

  • Provider

Who is licensed for that visit in your spa.

  • Downtime as logistics

If you ask, it is scheduling — not aftercare advice.

Hypothetical: first-time consult, Thursday evening

Hypothetical. Not clinical advice. HIPAA is not assumed on this page.

Caller
I want Botox this week. Can I just come in Thursday after work?
Scheduling agent (configured)
For that service this spa requires a consult before treatment. I can look at a consult with the provider who does that visit. I cannot recommend a product or a unit count.
Caller
Consult is fine. Thursday evening if possible. I have an event Saturday — how much downtime?
Scheduling agent (configured)
I can book the consult. Downtime is a clinical question for the provider, not something I should invent on the phone.

Promo callers still hit consult-required. Reactions never stay in the booking path.

Med-spa hard stops

  • Recommend injectables, lasers, or a ‘good candidate’ opinion
  • Invent downtime, bruising, or aftercare
  • Book treatment when a consult is required
  • Handle a reaction as a reschedule
  • Claim HIPAA certification that was not scoped

Weekend promo callers

Interest can be captured at 9pm. Treatment usually cannot. If you run limited Saturday consults, that is a calendar rule, not a chatbot improvisation.

Med-spa configuration

  • Menu and consult-required flags
  • Provider credentials per visit type
  • Series tracking if you have it
  • Photo intake if you use it
  • Reaction / clinical escalate path

Providers still own the face

Reactions, medical history, anything that sounds like a treatment plan, billing for packages.

Plan details live on the pricing page. Current plans are listed there.

This page is the intersection. The service and industry pages still stand on their own.

Questions for this workflow

Will it recommend a treatment?

No. It schedules consults and visits you already sell. Providers still decide.

Is this HIPAA certified?

Do not assume that. HIPAA is only in scope when a system is formally designed for it.

Can it book treatment on a first call?

Only if that service does not require a consult in your rules.

What if someone has a reaction?

That leaves scheduling and goes to a person. The agent should not triage.

Do series visits need the same provider?

If that is your rule, we put it in. The agent should not shuffle providers to fill a hole.

Will it recommend a filler?

No. It books a consult with a qualified provider.

Does it book into our live calendar?

It can, when a calendar or scheduling system can be securely connected. If not, it still captures a complete appointment request.

Can it overbook?

Rules for duration, buffers, and who can take the visit are part of the build. Exceptions go to a person.

Bring the menu with consult-required marked. We will not add a clinical recommendation.

Bring the real call types. We will tell you what belongs in an agent and what should stay with people.
