AI Receptionist · Law firms

New-matter intake is a form. It is not a conflict check and it is not counsel.

Firm phones mix new matters, existing-client callbacks, and people who want a free strategy session. A receptionist that answers ‘do I have a case?’ is practicing law. Intake should capture practice area, urgency, and a consult — then stop.

EXCEL routes by practice area you actually take, captures the fields your intake sheet already uses, and books or requests a consult. It does not provide legal advice, does not run a conflict check, and does not quote a retainer.

EXCEL systems do not provide legal advice, case strategy, or a conflict determination. They capture approved intake and route to the firm.

Hear an EXCEL receptionist. This demo does not provide legal advice and is not your conflict system.

Live demo

Meet Elliot.

Tell him what kind of business you run and hear how an EXCEL agent could handle a real customer conversation.

You’re testing Elliot from our Law firms example. Elliot is a demonstration receptionist — not a pre-built Law firms dispatcher. Your live system would be configured around your own workflows.

The partner’s cell becomes the intake form

New PI callers get a family-law script. Existing clients cannot leave a message that reaches a paralegal. People ask ‘do I have a case?’ and an untrained voice answers. Conflict is assumed to have happened because someone wrote a name down.

Practice area, then the sheet, then a human

Practice area first (and a clean decline if you do not take it). New vs existing. Existing: matter-safe callback, not a new consult pitch. New: the fields on your sheet — incident date, opposing party name if you collect it for later conflict, not a legal opinion. Consult scheduling if that is allowed; otherwise a complete request.

Firm calls that must not collapse

  • New matter, practice area you take

Sheet fields, consult. No ‘you have a strong case.’

  • Practice area you do not take

Decline or referral language you approved. Not a consolation opinion.

  • Existing client, ‘where is my filing?’

Identify, message the team. Status is not a receptionist lecture and not legal advice.

The sheet, not a memo

  • Practice area

    Your list, including a no.

  • New vs existing

Existing clients should not restart as leads.

  • Names for later conflict

Capture only. The agent does not clear conflicts.

  • Consult vs callback

What you actually sell on that line.

Hypothetical: rear-end crash, wants to know if they have a case

Hypothetical. EXCEL systems do not provide legal advice, case strategy, or a conflict determination.

Caller
I was rear-ended yesterday. Do I have a case? The other driver admitted fault on the scene.
Receptionist (configured)
I can take this as a new personal-injury inquiry for the firm, not a legal opinion. I cannot tell you whether you have a case. Are you already represented, and is this the first time you are contacting this office?
Caller
Not represented. First call. Can you tell me what a case like this usually settles for?
Receptionist (configured)
I will not discuss value, fault, or strategy. I will record new PI inquiry, incident yesterday, not represented, and follow your consult rules. A conflict check and any advice stay with lawyers.

Retainer, strategy, and ‘you should sue’ are hard stops. Names are captured for people to run conflicts later.

Legal hard stops

  • Provide legal advice, case strategy, or a ‘you have a case’ opinion
  • Quote a retainer, contingency, or settlement value
  • Clear or waive a conflict
  • Tell an existing client how a filing is going
  • Invent a practice area you do not take

Night intake is still not counsel

New matters can be captured at 9pm. Advice cannot. Existing clients get a message, not a status briefing. Court deadlines the caller is worried about go to a person — the agent should not interpret them.

Firm configuration

  • Practice areas you take and a written decline/referral
  • Intake fields that match your sheet
  • Who may book a consult vs request only
  • Existing-client identification
  • Languages and after-hours coverage

Lawyers still own the file

Anything that sounds like advice, a conflict, a fee, an existing-client emergency, a court deadline.

Questions for this workflow

Does this provide legal advice?

No. EXCEL systems do not provide legal advice, case strategy, or a conflict determination.

Will it run a conflict check?

It can capture names for people to run later. It does not clear conflicts.

Can it quote our retainer?

No. Fees stay with the firm. The agent should not invent a number.

What if we do not take that practice area?

Write a decline or referral line. Do not let the agent offer a consolation opinion.

Can existing clients get case status?

A message to the team, not a briefing. Status is not reception work.

Will it give legal advice?

No. That is out of scope. It captures approved questions and routes to the firm.

Can it check conflicts?

It can capture names for staff to check. It should not declare a conflict on its own.

Will it transfer a caller to a person?

Yes. Routing and escalation rules are defined with you. Anything outside approved scope can go to a person, a voicemail workflow, or a callback request.
